What is Workflow?
Genspark Workflow is an AI-powered automation tool that lets you turn repetitive work into automated processes — no coding required. Just describe what you want to automate in plain language, and Genspark AI handles the rest. Connect your email, calendar, documents, and more to build workflows that run on your schedule.
Quick Start
- Go to Workflow in the main navigation
- Click New Custom Workflow, or pick a template from the template library
- In the chat box on the left, describe what you want to automate in plain language, for example:
Automatically summarize my unread emails every morning
When I receive an email with a receipt attached, extract the amount and vendor, then log it to my expense spreadsheet
Automatically generate a weekly competitor report
- AI will automatically build and configure the workflow for you — including the trigger and action steps. You can keep chatting to refine it
- Click Test Run to validate the workflow with simulated data
- Once everything looks good, click Turn On to go live
Feature Guide
Managing Workflows
Go to Workflow in the main navigation and click View All to see all your workflows.
Each workflow supports the following actions:
- Enable / Disable: Toggle the switch to activate or pause a workflow (Active / Stopped)
- Edit: Click the three-dot menu (⋯) and select Configure to reopen the workflow editor
- Test Run: Click the three-dot menu (⋯) and select Test Run to validate the workflow with simulated data — no real actions will be triggered
- Delete: Click the three-dot menu (⋯) and select Delete to permanently remove a workflow
- Share: Click the share button in the top-right corner of the workflow chat to share your workflow with others
Once you select a workflow in My Workflows, the middle panel shows its full run history:
- Each record displays the run status, trigger time, and duration
- Click any record to view the full results in the right panel
- If a step is waiting on your input (Pending Confirmation), you can review the details and take action directly from the run record
What Workflow Supports
Workflows can be triggered in two ways:
- Schedule: Set a specific time and repeat rule — daily, weekly, monthly, or a custom interval (e.g., every 30 minutes). You can also set an end date and choose your timezone
- Email: Trigger automatically when a new email arrives. Supports Gmail and Outlook — you'll need to authorize the relevant account first
Workflows integrate with a wide range of tools, covering everything from research and communication to file management and third-party business systems:
- Genspark AI Tools: Web search, image search, YouTube search, and more
- Gmail / Outlook: Search, read, reply to, and forward emails
- Google Sheets / Drive / Docs: Search, read, write, create, and upload spreadsheets and files
- Slack / Microsoft Teams / LINE: Send and search messages across collaboration tools
- Outlook Calendar: Search and create calendar events
- Third-party platforms: Salesforce, Pipedrive, Stripe, Mailchimp, Box, GitHub, X (Twitter), and more
- Custom Agents: Connect any Custom Agent you've built in Genspark
FAQ
Q: What's the difference between Test Run and a live run?
Test Run uses simulated data to execute the workflow — no real emails are sent and no actual data is modified. It's the best way to verify your workflow logic before going live. Once you click Turn On, the workflow runs for real based on the trigger you've configured, and all actions take effect.
Q: Can a workflow have multiple triggers?
Each workflow currently supports one trigger. If you need to handle multiple trigger scenarios, you can create separate workflows for each one.
